JOB DESCRIPTIONS:

1. Provide secretarial assistance and general administration support to Distribution Operation Director

-  Manage appointments & travel scheduling & booking arrangement efficiently & timely

- Gather, organize & prepare monthly reports, memos, letters, presentations, and departmental/ divisional documents

-  Prepare & monitor travel expenses claims, leaves and weekly working schedules 

-  Screen and respond to incoming correspondence, inquiries, and phone calls

-  Arrange and attend meetings; taking and distributing minutes.

-  Consolidate & check the internal request, payment request from all RDC/shop before get approval as well as do the monthly report for internal request , distribution expense.

-   Supervise driver to provide good and safe transportation service & car expenses checking & monitoring

-   Organize, monitor and follow up closely activities and progress of Function

 

2. Support logistics arrangement for Monthly Distribution Team Meetings

-  Arrange and send meeting invitation to participants

-  Coordinate in agenda arrangement and material preparation

-  Support in accommodation booking for all RDC Supervisors to join the meeting

 

3. Manage Admin tasks for Distribution Operation Department

-   Responsible for office maintenance

-   Handle monthly office purchasing & payment (taxi card, travel expense)

-   Manage office operation (cleaning, pantry, taxi card, filing)

-   Lead and organize Distribution Operation mini-team outing and division’s events/ activities

 

JOB REQUIREMENTS:

-  Business Administration or relevant bachelor degree

-  Knowledge of variety of office methods and procedures

-  Processing of all departmental, divisional and/or corporate communication via electronic mail systems

-  Knowledge of departmental, divisional and/or corporate operations

-  Excellent oral and written English communication

-  At least 1- year working experience in multi-national company

Good at organizing and follow-up skill

-  Integrity, patient, willing to learn, detail-oriented and work hard Good at MS office (especially MS. PowerPoint), Email and Internet
