A. Secretary
Description:
- Acting as a first point of contact: dealing with correspondence and phone calls.
- Managing diaries and organizing meetings and appointments.
- Take minutes in all meetings and drive to get the actions completed
- Upload data on the necessary common folders and manage the same and able to retrieve the data as required
- Should be strong on follow ups and reminders
- Indexation and filing of department documents
- Indexation and proper storage of all files in the department
- Handling logistics for senior leaders, making travel arrangements for the department personnel. This includes air tickets, hotel booking, visa, car booking, forex & payments
- Arrange logistics: training classes, seminar, workshops
- Participate in Purchasing process. Handle claims of expenses for team and Operations Director. Keep track of expense claims
- Vendor Purchase Orders, budget provisions and bills pay outs as per policy
- Key in training data into database. Assist in inputting data.
- Special projects as directed by Manager
- Organize department meetings /events/ Training as Line Manager require
- Ensure documentation compliance as per Abbott policy and discipline. Operate and maintain files ensuring security always.
- Reminding the manager/executive of important tasks and deadlines.
- Typing, compiling and preparing reports, presentations and correspondence.
- Support other tasks as requirement from Operations.
